Clinical Support - Patient Information Service
Clinical Records Service
The Clinical Records Service (CRS) employs clinical administrators to
ensure that patient records are accessible to the medical and nursing
staff every time a patient visits the hospital. While CMDHB has a great
deal of health information available electronically, there is still a
heavy reliance on the paper record - particularly for the hand written
sections of our records. This is a 24-hour, 7 day a week service.
The
staff are based in teams. The work here is very deadline driven and
attention to detail is crucial. Staff are rotated through the positions
three times a year, so the work is varied and the level of job
satisfaction remains high.
The
CRS team consists of 42 staff, including the team leader. There are also
two specialist roles - the Release of Information and Training Clerks.
It is
important that those keen to work in this area consider their ability to
work accurately at a fast pace in a team environment, before applying
for a position. Good computer and alphanumeric skills are also
pre-requisite for the job and although records management experience is
preferred, full training will be given.
Clinical
Transcription Service
The Clinical Transcription Service employs a team to provide word
processing and secretarial support to the medical staff at Counties
Manukau CHB. This team is located throughout various departments so that
they are in close proximity to the staff they support.
In
this area, individuals are encouraged to multi-skill as much as possible
and many can type for a wide variety of specialties.
The
medical staff use the WinScribe digital dictation system and the
transcription staff type the reports into electronic document management
systems. The work is deadline driven and a high level of accuracy is
required.
Excellent word-processing skills and the ability to touch type are
prerequisites for the job while medical word processing experience is
definitely preferred. Prospective employees should consider how well
they can work under pressure and as a team, before applying for a
position in the Service.
Patient Information Service Business Support Team
This is a newly
created team, whose principal objective is to provide support to the
users of the main clinical information systems, PiMS and Concerto. This
team consists of three functional specialists, who have an in-depth
understanding of how the staff use the applications in all areas of the
hospital. They are responsible for co-ordinating the testing for
up-grades, helping with any day-to-day user problems and assessing new
functionality and how it may be used in the future. The other members

Co-ordinator, who monitors the quality of the information entered
into the systems, a

Security Co-ordinator, who audits the access to the information
systems to ensure it is appropriate and maintain the user website
for PiMS

Business
Administration Support, who provides support to the rest of the
team, and maintains the user website for Concerto.
Skills
required for these positions is a good working knowledge of the systems
they support, attention to detail and excellent interpersonal skills, as
they work with a wide range of staff.
